SALARY:

Our client is a multi‑location group focused on integrated, patient‑first care in the Denver area. The Lone Tree location operates as two sister practices under one leadership structure: a 10‑operatory main office open five days a week and a closely connected satellite (4–5 columns, three days/week) served by the same team. With 3–4 full‑time doctors, eight hygienists, and a tight‑knit team of ~26 and growing, Willow Creek consistently produces over $5M annually and is known internally as a well‑run, low‑drama, highly collaborative practice.

Role summary

The Practice Manager is the on‑site operational leader responsible for the overall performance, culture, and day‑to‑day operations of Willow Creek Dental’s Lone Tree locations. This role partners closely with the Regional Manager (who previously led this practice) and owner dentists to maintain an already strong operation, support the Stanbrick Patient Care Model, and drive continuous improvement across operations, patient experience, and financial performance.

This is a highly visible, hands‑on position—not a back‑office role. The Practice Manager works side by side with the team, stepping into front office and coordination roles as needed while still owning leadership, metrics, and strategy.

Key responsibilities

Practice operations

  • Oversee daily operations across two locations, including scheduling optimization, patient flow, and cross‑functional communication for a 60+ patients/day schedule.
  • Jump into non‑clinical roles as needed (front desk, treatment coordination, hygiene scheduling) especially during staffing gaps, while ensuring high standards of service.
  • Coordinate treatment planning and continuity of care between general dentists and specialists.
  • Serve as the primary escalation point for patient concerns and team issues, resolving them quickly and professionally.
  • Ensure full compliance with HIPAA, OSHA, and all applicable regulations, including proper handling of PHI.

Financial management

  • Participate in monthly financial reviews with leadership to evaluate practice performance and identify opportunities for growth and efficiency.
  • Monitor and actively manage AR, OTC collections, failed payment plans, and cancellation/no‑show rates.
  • Manage and track labor and supply budgets, ensuring cost‑effective purchasing and appropriate staffing levels
  • Understand how daily operational decisions affect EBITDA and execute strategies that support sustained, profitable growth.

Leadership, culture, and EOS

  • Lead, coach, and develop a team of 20–30+ including front office, patient coordinators, hygiene/clinical support, and cross‑location staff.
  • Drive a positive, collaborative, and accountable culture in a team that values hands‑on leaders and strong relationships.
  • Reinforce Stanbrick’s Vision, Core Values, and Core Focus, and participate actively in company‑wide engagement initiatives (e.g., Purple Fun Club).
  • Participate in daily 8:30 am practice manager calls and bi‑weekly in‑person PM meetings to review metrics, financials, and best practices.
  • Learn and apply the EOS/Traction framework, including Level 10 meetings, scorecards, and quarterly/annual planning; prior EOS experience is helpful but not required.

Performance metrics

You will be responsible for monitoring and improving a comprehensive “flywheel” of ~26 metrics across:

  • Average Sales per Patient (ASP) and case acceptance
  • Patient retention (weekly, monthly, annual)
  • EBITDA performance and overall practice profitability
  • Labor efficiency and scheduling utilization
  • AR balance and collection performance
  • Employee engagement and organizational health

Support and training on these specific metrics and tools will be provided by the Regional Manager and leadership team.

Schedule and work environment

  • Full‑time, on‑site role: Monday–Friday, approximately 6:45 a.m. – 4:00 p.m.
  • Fast‑paced but well‑structured environment, with clear systems already in place; expectation is to maintain and enhance, not overhaul

Compensation and benefits

  • Base salary: $80,000 – $90,000 per year DOE; higher end reserved for candidates with strong large‑practice leadership and financial acumen.
  • EBITDA‑based incentive: opportunity to earn an additional 1-3K per month based on practice performance; current trajectory supports an average of around $1,500/month when goals are met.
  • PTO:
  • 2 weeks (80 hours) in Year 1
  • 3 weeks (120 hours) in Years 1–5
  • 4 weeks (160 hours) in Years 5+
  • Health insurance: company‑subsidized; two of three plans have no cost for employee‑only coverage.
  • Dental coverage for employee and immediate family members.
  • 401(k) with company Safe Harbor match
  • Ongoing training and development, including EOS/Traction training, leadership development, and regular PM peer meetings

What we’re looking for

You might be a great fit if you are:

  • A seasoned dental practice manager or advanced office manager ready to lead a large, multi‑doctor practice.
  • Energized by being out on the floor with your team as much as you are by reviewing reports and metrics.
  • Excited by the idea of inheriting a strong, low‑drama, well‑run practice and helping it stay excellent—rather than coming in to “tear everything down.”
  • Comfortable with accountability, data, and KPIs, and you enjoy tying your bonus to practice EBITDA and results.
  • Looking for a long‑term home with a supportive Regional Manager and fantastic doctors who value partnership and collaboration
